BOOKING AND DISPATCH POLICY
This Booking and Dispatch policy is produced in line with current rules and regulations, by Ride2Fly Taxis Ltd, company number
10175559 and registered at 22 East Park Road, Leicester, England, LE5 4QA. The Booking and Dispatch
Staff (BDS), whether employed by Ride2Fly or via a Third Party, must adhere to the undermentioned
to ensure appropriate safeguarding compliance and a high standard of customer service.
ROLES AND RESPONSIBILITIES
- The Booking and Dispatch Staff (BDS) will ensure to record the following information for each booking:
- Call date and time
- Passenger’s name
- Passenger’s contact number
- Pick up location
- Drop-off location
- Dispatched Driver’s name
- Dispatched Driver’s licence number
- Dispatched Driver’s taxi badge number
- Dispatched Driver’s vehicle registration number.
- Name of the BDS personnel who responded who attended the call
- If different, name of the BDS personnel who dispatched the vehicle.
- All BDS personnel will ensure to read and adhere to data protection legislation and guidance set by the Information Commissioner’s Office (ICO) to protect the information they record.
- All BDS personnel will ensure not to use the private hire vehicle users’ personal details, outside the outlined within our policies.
- All BDS personnel will ensure not to exploit the private hire vehicle users.
- All BDS personnel must not to share or sell the personal details of the private hire vehicle users.
- All BDS personnel will ensure compliance to the safeguarding rules and regulations.
- All BDS personnel must provide a recently issued DBS certificate (Basic) at the beginning of their employment.
- Any ex BDS personnel resuming this role, must also provide a recently issued DBS certificate (Basic) at the beginning of their role.
- All BDS personnel must notify Ride2Fly of any previously committed offences and convictions before the start of their employment. An assessment of the previous convictions will then be carried out by Ride2Fly to determine the continuity of their role as a BDS personnel and/or their employment. The outcome of the same will be retained to be presented to relevant compliance authorities when required.
- All BDS personnel must notify Ride2Fly immediately of any committed offences and convictions while they are employed in this role. An assessment of the convictions will then be carried out by Ride2Fly to determine the continuity of their role as a BDS personnel and / or their employment. The outcome of the same will be retained to be presented to relevant compliance authorities when required.
- Ride2Fly will keep a register of all BDS personnel along their DBS checks, and present to relevant compliance authorities when required.
- Ride2Fly will keep the above-mentioned register for as long as legally required and will update the same regularly.
Failure to adhere to this policy may result in disciplinary action, up to and including termination of employment or contract.
This policy will be reviewed annually and amended as necessary to reflect changes in regulations, technology, and company procedures.
